What it replaces

You are with a client when the phone rings

The call goes to voicemail. The caller phones the next shop. You find the message at six. New inquiries sit a day before anyone answers, and reminders depend on whoever remembers.

We wire the routine parts together. A text goes out when a call is missed. Reminders go out before appointments. Intake forms are filled in before the visit. A quote no one has answered gets a nudge on a schedule you set. A person handles everything that needs a person.

This is not an answering service. It sends the messages you wrote, tracks the follow-up and routes the rest to you.

What is in a front-desk automation build

Pick the workflow that costs you most. A Focused build wires one.

Missed-call text-back

A short text goes to a caller you missed, with a link to book or a question to answer. You approve the wording before launch.

Reminders people can answer

Reminders go out before the visit with a link to confirm or reschedule. Texts carry opt-out wording.

Intake before the visit

Contact details, consent to text and the service they want, collected before they arrive. Forms that collect health history stay in your practice software.

Lead and quote follow-up

A new inquiry gets a reply with times to pick from. A quote that has not been answered gets a nudge, and you see what is still open.

Chat from a document you control

Website chat answers from a knowledge base you write and edit. Anything it cannot answer goes to you.

What is not in the price

A Focused build covers the one workflow written into the scope. More workflows, more than one connection to your tools and hosting are quoted as lines. The carrier bills text fees to you.

What it costs

One fixed price. Half at signing, half when your acceptance checklist passes.

Front-desk automation questions

Short answers.

What is missed-call text-back, and is it legal?

A short text goes to a caller you missed, with a link to book. Texts to customers need consent handling and a way to opt out, and the federal rule is the Telephone Consumer Protection Act. We build consent wording and STOP handling in, and you approve every message before launch. Rules differ by message type and by state, so have your own adviser confirm what your messages require. We do not give legal advice.

How do I reduce no-shows?

Reminders and an easy way to reschedule are the two things that reliably help. We cannot promise a no-show rate. Your own booking data will show whether it moved, and after a few hundred appointments the difference is readable. Below that, a change proves nothing.

Can I automate patient intake?

You can automate the forms that go out and come back. For contact details, consent to text, the service wanted and a visit fee, that is a Focused build. Health-history forms stay in your practice software. A system that stores patient health information is scoped separately before any price is given, and your counsel should confirm what counts as patient information for your practice.

How is this different from an answering service?

An answering service puts a person on the line, usually for a monthly fee. This sends the text messages you wrote and tracks the follow-up. It does not take a call. If your callers need a human voice, hire the service. The two work together.

Do you use AI for this?

Where a tool uses an AI model, the proposal says so, and your contract has a Tools and AI section. Website chat answers from a document you write. Anything it cannot answer goes to a person. Text-back and reminders are plain scheduled messages.

What does it cost?

One workflow is a Focused build at $4,950. Care plans for hosting, monitoring and upkeep are $149, $299 or $499 a month, plus applicable tax. The carrier bills text-message fees to you. Your booking tool may already include reminders or text-back as an add-on. Check before you buy a build, and if it does the job, keep it.
