What it replaces

Where does my file stand? Three inboxes know

Documents go back and forth as attachments. The invoice lives in the accounting tool. A client phones to ask where their job stands, and the answer is spread across three threads and a spreadsheet. Everyone is working. No one can see the whole picture.

Many firms rent a portal, and for good reasons. Per-seat practice suites list from $59 to $149 a user a month (published prices we checked on 2026-10-16, some read from third-party guides). If the suite covers what you use, keep it.

We build the part a suite does not: your own branded status page for clients, an intake shaped like your work, an owner or board view, or a connector between the tools you keep. Benchford runs its own projects through a portal built this way.

What is in a client portal build

Each line is written into your scope before you sign.

One branded login per client

Clients sign in and see just their own work. You add and remove people from an admin screen at your business.

Documents and signatures

Upload, download and sign in one place, with a record of who signed what and when.

Requests, messages and status

A client sends a request and sees where it stands. A project page shows the status, so the weekly update takes a minute.

Invoices and payments

Invoices sit next to the work they belong to. Card payments run through your own Stripe account, and Stripe bills its fee to you.

The staff view

Your team sees every client's open items in one list: what is waiting on you, what is waiting on them, and who owes what.

What is not in the price

A second integration, moving old files and records into the portal, and hosting. Hosting and upkeep are a care plan from $149 a month. Systems that store patient health information are scoped separately.

What it costs

A single portal view is Focused, $4,950. Half at signing, half when the checklist passes.

Client portal questions

Short answers, with the prices we checked.

What does a client portal do?

It gives each client one login to see their documents, their open requests, the status of their work and their invoices. You see the same items from the staff side. It replaces the attachment thread and the "where are we on this?" phone call.

How much does a client portal cost?

A single portal view is a Focused build at $4,950. A portal with a staff view and one integration with a tool you keep is a Complete build at $9,850. Care plans for hosting, monitoring and upkeep are $149, $299 or $499 a month, plus applicable tax.

Is a portal better than email for sharing files?

For a one-off file, email is fine. A portal wins when the same clients send many documents over months, you need to see who has sent what, and you do not want client files sitting in staff inboxes. It also gives clients one place to check status instead of calling.

Can a client portal be HIPAA compliant?

Software is never compliant by itself. HIPAA describes how a practice handles patient information, and whether it applies to you is a question for your own counsel. Benchford does not claim HIPAA compliance and does not certify anything. Systems that store patient health information are scoped separately, with a written scope and security checklist, before any price is given.

Is a portal cheaper than renting one?

Compare three years, not one. For a 12-person firm, a Complete build with the Standard care plan is $20,614 over 36 months ($9,850 plus 36 months at $299). Whole-practice suites for 12 seats list at $25,488 to $36,000 over the same three years (Karbon Team and TaxDome Pro list prices, checked 2026-10-16). That holds if the build covers the suite functions you actually use. Against a tool that is just a portal, the saving is small.

Who owns the code and the data?

You do. The custom code and your data live in accounts in your name, with a runbook so another developer could take over. Care plans cancel in one step with a full export.
